Protecting Data When Using AI

What Data Can You Share with AI Tools?

NEVER share with AI tools:

  • Personal Identifiable Information (PII) of customers, employees, or partners
  • Financial data including credit card numbers and bank accounts
  • Health information (HIPAA-protected data)
  • Trade secrets and proprietary formulas
  • Unreleased product information
  • Client confidential data
  • Access credentials or passwords

Quebec Law 25 Compliance

Quebec's Law 25 requires organizations to:

  • Obtain explicit consent before collecting personal information
  • Implement privacy impact assessments for new technologies
  • Maintain transparency about data collection and use
  • Allow individuals to access and correct their data
  • Report data breaches within 24 hours
Remember: If you're unsure whether data can be shared with an AI tool, assume it cannot. Always consult with your data protection officer.

Data Anonymization

When possible, anonymize data before using AI tools:

  • Replace names with generic identifiers
  • Remove identifying numbers
  • Aggregate data instead of using individual records
